Where your boards live
On the desktop app, your boards are stored on your device in a local, crash-safe database. Desktop Sync is a paid feature and is off until you turn it on. On the web app, boards are always stored in the cloud on every plan, including Free, so you can open them in a browser. With desktop Sync off, your boards and chats are not uploaded; opening the app records which app you used that day, and your connection keys are kept on our server so your sources can refresh.
How sources connect
You connect a source with OAuth or an API key. Most sources are read-only feeds: Vexlynk reads your numbers and shows them as a live card, and doesn't change your records inside Stripe, YouTube, Google Analytics, Notion and the rest. A few you can act on right from the board today — reply on WhatsApp, edit a Trello card, add or edit a Google Calendar event — and those are always your action, not the assistant acting on its own: sending a message, or archiving, completing or deleting something, asks you to confirm first. You can revoke any source's access at any time. Source credentials are always stored encrypted. On the desktop app, API keys (like Stripe or Notion) are also kept in the app's encrypted local store. When you're signed in, the desktop app keeps an encrypted copy of each API key in our cloud vault (AES-256, with a separate key for each account), whether Sync is on or off, so your sources can refresh in the web workspace. Google and Microsoft connections are held only in that vault. To fully revoke an account, use Settings → Connected accounts → Disconnect: we revoke the access and delete the keys. Data already on your cards stays until you delete the cards.
What the AI actually sees
We're not going to tell you "your data never leaves your machine" — that stops being true the moment you ask a hosted AI a question. Here's the honest split instead:
Stays on your machine
- Your boards aren't stored in our cloud (desktop app, Sync off), but the AI still receives board context when you use it
- Your own AI key, if you bring one (BYOK)
Sent to the model when you ask
- A short preview of every card on the board, your board memory, source summaries, the lines you drew, your recent chat, and the full text of the cards your question is about
- With hosted AI, the request goes through our server to OpenAI; your prompts and replies aren't written to our logs (your chats are saved with your boards; see above). With your own key (BYOK), your chat questions go to your provider, on your account. Links you ask Vexlynk to read and web searches always go through our server
- Most requests start when you ask. The Morning Brief and any scheduled flows or Vlynks you set up also run on their own; you can switch the Morning Brief off
What Vexlynk does and doesn't do — today
- Reads your connected sources — most are read-only feeds it never edits.
- Lets you act on a few sources from the board today: reply on WhatsApp, edit a Trello card, add or edit a Google Calendar event — always your action, never the assistant on its own; sending, archiving, completing or deleting asks you to confirm first.
- Creates real things on demand when you ask: cards, documents, downloadable files (including HTML) and images.
- Doesn't post to your social accounts — those sources are read-only.
The controls are yours
- Disconnect any connected account from Settings → Connected accounts
- Turn desktop Sync on or off (paid plans; web boards are always cloud-backed)
- Bring your own AI key (BYOK)
- Delete a board, your cloud data, or your whole account (a few records are kept; see the Privacy Policy)
