Your Info Is Secure
Giving an app access to your stuff is a big deal. Here's exactly where your info goes, in plain words.
What stays on your computer
If you use the Vexlynk desktop app with Sync turned off (that's how it starts), your boards, cards, notes, to-do lists and spreadsheets live on your computer. We don't keep a copy of them.
When we keep a copy of your boards
We keep a copy of your boards on our servers in two cases:
- You use Vexlynk in your web browser. The web app always saves your boards with us, so you can open them anywhere. This is true on every plan, including Free.
- You turn on Sync in the desktop app (paid plans), so your boards follow you to other devices.
When we keep your boards, we also keep your chats with the AI and the last 10 versions of each board, so you can get them back if something goes wrong. The info your connected accounts put on your cards (like sales numbers or calendar events) is saved with them.
Only your account can open them in Vexlynk. They're protected, but not with a secret key that only you hold, so we could technically read them. We don't look at them, and we never sell them.
What our servers always keep
However you use Vexlynk, our servers keep what we need to run your account:
- Your email, and your name and photo if you add them.
- Your password, scrambled so even we can't read it. (If you sign in with Google, there's no password at all.)
- Your plan.
- The "keys" that let Vexlynk talk to the accounts you connect, like Google, YouTube or Stripe. They're locked (encrypted) and used only to bring your own info to you.
- A count of how many AI questions you asked. We count them; we don't read them.
- A few simple facts that help us make Vexlynk better: which app you used (web, Windows, Mac or phone) and on which day, which kinds of accounts you connected, how you found us, and your answers to the welcome questions, if you answer them.
Some info passes through our servers on its way to you: numbers from Instagram, Facebook and TikTok, web links you ask Vexlynk to read, and web searches you ask for.
What goes to the AI
To give you a good answer, the AI needs to know about your board. So when you ask it something, it gets:
- your question,
- a short preview of the cards on your board,
- the full text of the cards your question is about,
- the lines you drew between cards, and what it remembers about this board,
- your recent chat, so it can follow the conversation.
The AI also writes one short brief on its own, called the Morning Brief: at most once a day, on your main board, when something has changed. To turn it off, open your Vlynks and switch off Morning Brief.
We use OpenAI for this, through their business service (called an API). We ask OpenAI not to keep the answers. Under OpenAI's business rules, they don't use your info to teach their AI, and they keep requests for up to 30 days only to check for abuse, then delete them.
That's different from chat apps like ChatGPT or Claude, where your chats may be used to train the AI, depending on your settings.
We don't save your questions or the answers in our logs. If you use the web app or Sync, your chats are saved with your boards, as explained above.
Want even more control? Bring your own key.
On a paid plan, you can plug in your own account from an AI company: OpenAI, Anthropic, DeepSeek or xAI. Then your questions go straight from your device to that company, under your account and their rules. They don't go through us, and your key stays on your device.
The most private way to use Vexlynk
Use the desktop app, keep Sync off, and use your own AI key. Then your boards, notes and chats stay on your computer, and your AI questions go straight to your AI company.
What our servers still see in this setup:
- Your sign-in, your plan, and which app you used that day.
- The locked keys for any accounts you connect. Google and Microsoft check in with our server every time they refresh, and keys like Stripe or Notion are also kept, locked, on our server. Connect only what you need.
- Instagram, Facebook and TikTok numbers, which always come through our server.
- Web links you ask Vexlynk to read, and web searches you ask for.
- Crash reports (with your content removed) and checks for app updates.
We need these so your account and your connections keep working.
You're the boss
- Connect only what you want.
- Disconnect an account in Settings → Connected accounts, and we delete its keys right away. Removing just one Google source keeps your Google account connected, because your other Google sources use it too. Vexlynk tells you when that happens.
- Info a source already put on your cards stays there until you delete those cards.
- Turn the Morning Brief off anytime.
- Delete your account, and we delete your boards, chats, keys, uploaded images and the rest of your account data, and we cancel your paid plan. A few records stay for a while: messages you sent to our support team, and short security and visit logs that no longer point to you. We also keep your email and whether you used a free trial, so the same email can’t get a free trial twice. If you want this record erased too, write to us and we’ll remove it.
