How to Organize YouTube Video Project Files on One Board (Without Uploading Them)

Organize YouTube video project files with a folder structure that scales, then put footage, plan and channel numbers on one board. Nothing uploaded.

If you want to organize YouTube video project files, the hard part is not the folders. It is that one video is spread across five places. Raw footage sits in Downloads or on an external drive. The script is in a doc somewhere. Thumbnail drafts are on your desktop. The music you licensed is in an email. And when the video goes live, its numbers are in YouTube Studio, nowhere near any of it. Every new video starts with ten minutes of “where did I put that?”

This guide gives you a folder structure that holds up past video number fifty, and then shows how to put each project on one board in Vexlynk, next to your channel’s numbers, without uploading a single file.

What is a good folder structure for YouTube video projects?

The best structure is the one you never have to think about. For most solo creators that means one folder per video, with the same subfolders every time:

  • 01-script: outline, script drafts, research links
  • 02-footage: A-roll straight off the camera
  • 03-broll: cutaways, screen recordings, stock clips
  • 04-audio: voiceover, music, sound effects
  • 05-graphics: lower thirds, overlays, logos
  • 06-thumbnails: every thumbnail draft, not just the winner
  • 07-exports: the final render and any cut-downs for Shorts

Name the video folder with a date and a short slug, like 2026-10-21-studio-tour, so folders sort in publishing order. Keep all video folders inside one channel folder, and move finished ones into an archive subfolder once they are published. Numbered subfolders keep the order fixed in every file manager, which matters more than it sounds when you are tired at the end of an edit.

One rule saves a lot of pain: pick the channel folder’s location once and leave it there. Moving it later breaks shortcuts in every tool that points at it, including the one below.

Where should the plan for each video live?

Folders hold files. They do not hold decisions: which hook you chose, what still needs recording, which thumbnail you are testing, how the last video on the same topic did. That is why creators end up with a separate planning app, a separate notes app and a separate analytics tab, and the project splits again.

A board fixes that. On a canvas you can put the files, the plan and the numbers side by side, and see the whole project at once.

How to organize YouTube video project files on a Vexlynk board

This uses the Files panel, which is in the Vexlynk desktop app for Windows and macOS. It needs access to your real file system, so the web workspace does not have it.

Open the Files panel, click Choose a folder, and pick your channel folder. It appears in the panel and you can browse it like a file manager. Vexlynk stores a reference to the path. Nothing is copied, uploaded or moved, and your footage stays exactly where it is.

2. Drag what you need onto the board

Drag a file from the panel onto the canvas and it lands as a card. Images render, so your thumbnail drafts show up as pictures you can compare side by side. A document opens in an editor. Anything else, like a raw clip, becomes a file card you can open from the board.

Because the files stay in place, editing one in another program updates what Vexlynk sees. Swap a thumbnail draft in your image app and the board shows the new version, because it is the same file.

3. Add the plan around the files

Put a to-do card next to the files for what is left: record intro, pick music, final thumbnail. Add a note with the hook and the title options. Draw a line from the script to the footage it covers if that helps you think. You end up with the whole video on one surface.

4. Put your channel’s numbers next to it

Connect YouTube Data for your channel stats and recent video performance, and YouTube Analytics for views, watch time and subscriber trends over time. Those cards sit on the same board as the project. When you are choosing a thumbnail or a title, the numbers from your last videos are right there instead of in another tab. If you want more on that setup, see See Your YouTube Analytics Without Opening Studio.

Once the video is published, paste its YouTube link into a Video card so the finished piece sits at the end of its own project.

Can you edit the video without leaving the board?

For lighter edits, yes. The Video Editor extension is a timeline editor inside Vexlynk, also desktop only. Open it from Extensions → Video Editor, bring in your media, arrange clips on the timeline, and export.

  • The project is saved into the workspace, so closing the window does not lose the edit.
  • AI captions use your own OpenAI key, billed by OpenAI to that key. Without a key the rest of the editor works normally.
  • Export is MP4, a file on your machine you can upload to YouTube.
  • Media stays local. Video files are handled on your computer.

If you cut long videos in a full editor like Premiere or DaVinci Resolve, keep doing that. The board still works as the home for the project: your editor reads the same files from the same folder, and the board points at them.

Can the AI agent help with my video project?

It can help with the parts that live on cards. The agent reads the cards on your board, including your YouTube Data and Analytics cards, notes, to-dos and link cards. Ask it “which video performed best last month?” or “what’s left on this project?” and it answers from what is there.

Be clear about the limit: the agent does not read your video files, PDFs or other uploaded file cards. It cannot watch your footage or open a file card. Vexlynk document cards are the exception, and only if you turn on document reading in Settings → AI, which is off by default. If you want the agent to work with your script, keep it as a Vexlynk document card and turn that setting on.

Does this put my footage in the cloud?

No. Linked folders are not synced. Even if you turn on cloud sync, what syncs is your workspace, meaning the cards, their layout and their content, not the folders you linked or the files inside them. Raw footage is the heaviest thing a creator owns, and it stays on your drive.

That has two practical consequences. Opening the same board on another computer shows the cards, but the file references point at a path that machine may not have. And there is no second copy: delete a clip on disk and it is gone from the panel too, so keep your normal backups. If privacy is the main reason you care about this, we cover it in depth in A Workspace App That Keeps Files on Your Computer.

When Vexlynk is not the right fit

  • You edit with a team on shared storage. Linked folders stay on one machine. A shared drive or a review tool built for teams fits better.
  • You only work in the browser. The Files panel and the Video Editor are desktop only. The web workspace can hold video and image cards, but not a linked folder.
  • You plan videos from your phone. Phones do not load the canvas.
  • You want a full professional editor. The built-in Video Editor is for cutting, arranging, captions and MP4 export, not a replacement for a dedicated editing suite.

If you are a solo creator tired of hunting for your own files, download Vexlynk for desktop, link your channel folder, and build your next video on one board. The Files docs and the Video Editor docs cover the details, and the features page lists every YouTube source that ships today.

Frequently asked questions

What is the best way to organize YouTube video project files?

One folder per video, named with a date and short slug, with the same numbered subfolders each time: script, footage, B-roll, audio, graphics, thumbnails, exports. Keep every video folder inside one channel folder that never moves, and archive finished projects.

Does Vexlynk copy or upload my video files?

No. The Files panel stores a reference to the folder’s path. Nothing is copied, uploaded or moved, and linked folders are not synced even if cloud sync is on.

What happens if I move my channel folder?

The link breaks, because Vexlynk was pointing at the old path. Link the folder again from its new location. That is why it pays to choose a permanent spot before you link it.

Can the AI watch my footage or read my script file?

No. The agent does not read video files, PDFs or uploaded file cards. It reads your board’s cards, like YouTube data, notes and to-dos. A Vexlynk document card can be read only if you turn on document reading in Settings → AI.

Does this work in the web version?

The YouTube cards and the board work on the web. The Files panel and the Video Editor need the desktop app, because they need access to your computer’s files.
