A Milanote alternative for desktop: a local-first visual board that links your folders, shows live business sources and has an agent that reads it all.

If you are looking for a Milanote alternative for desktop, you probably like visual boards and want something slightly different from them. Maybe you want your boards stored on your own computer. Maybe you want the board to show your real business numbers, not just notes and images. Or maybe you run a small business or a channel, and your “creative project” is also your income, so you want sales, analytics and tasks on the same canvas as your ideas.

This post compares the two honestly. Milanote is a good tool, and for some people it is the right one. Vexlynk solves a different problem, and the difference is worth understanding before you switch anything.

What is Milanote built for?

As of October 2026, Milanote’s website describes it as “an easy-to-use tool for organizing creative projects”, aimed at creative work such as filmmaking, writing, design, photography, marketing and content creation. Its homepage talks about combining notes, images, videos, sketches and more, inviting others to edit, comment or just view your boards, and planning on desktop or capturing thoughts with its mobile apps. It offers desktop apps for Mac and Windows.

Its mood board page describes over 100 free templates and an integration with Pexels for free stock photos you can drag onto a board. Its help center says customer data is stored in databases on AWS and Google Cloud, and that its mobile apps do not work offline yet.

In short: a polished, cloud-based visual board for creative teams, with strong sharing.

What makes Vexlynk a Milanote alternative for desktop?

Vexlynk is also a visual canvas of cards. You place notes, to-dos, images, links, video and audio cards, spreadsheets, charts and shapes, and arrange them the way your work connects. The differences are in three places.

1. Your boards live on your computer

The Vexlynk desktop app for Windows and macOS is local-first. Your workspaces and cards are written to your own disk, and the app works without a network connection for everything that does not inherently need one. Cloud sync is optional and off by default. Turn it on and your boards also reach the web workspace; leave it off and they stay on your machine. The desktop vs web guide spells out exactly what leaves your computer and when. If the idea is new to you, our post on what local-first means covers it.

2. Your local folders, without uploading them

The desktop app has a Files panel. You link a folder from your computer, browse it inside Vexlynk, and drag files onto the board. Vexlynk stores a reference to the path. Nothing is copied, uploaded or moved. Edit a file in another program and Vexlynk sees the new version, because it is the same file. Linked folders are not synced, even with cloud sync on.

For creators, this pairs with the desktop editors: a Video Editor with a timeline and AI tools for captions, scripts and images using your own AI key, and an Image Editor to crop, adjust and annotate without leaving the app.

3. Live business data and an agent that reads the board

This is the biggest difference. Vexlynk connects your accounts as live cards: YouTube, Google Analytics, Stripe, Shopify, Instagram, Notion, Trello, ClickUp, Google Calendar, RSS and more, listed on the sources page. Most connect read-only. An AI agent reads every card on the board, including your notes and those live sources, so you can ask one question across all of it.

Built-in analyses called Vlynks go further, writing cited analysis cards on the board: how your channel is doing, content gaps against competitors you track, budget against spend, and more.

What does a creator board look like in practice?

Take a hypothetical YouTube creator planning next month’s videos.

  • Ideas and references: note cards for video ideas, image cards for thumbnail references, link cards for articles you want to cite. The agent can read a link card’s page when you ask, and tells you what it read and when.
  • Raw footage: link your project folder in the Files panel and drag the clips you are working on onto the board. They stay where they are on disk.
  • Live numbers: connect YouTube Data and YouTube Analytics for your channel, and Competitor Research to compare up to three competitor channels.
  • The plan: a to-do card with due dates for each video. Every to-do item also appears in Task View.

Then ask the agent: “Which of these ideas fits what’s working on my channel right now?” It answers from your ideas and your channel cards together. On a pure mood board tool, the numbers would live somewhere else.

When is Milanote the better choice?

Honestly, in several cases:

  • Pure mood boards. If your board is mainly visual inspiration, Milanote’s large template library and built-in stock photo search are made for that. Vexlynk has templates too, but it is not built around mood boarding.
  • Collaboration. Milanote describes inviting people to edit, comment or view boards, including clients without an account. If your work depends on shared boards with a team or clients, Milanote is the stronger fit today.
  • Phones. Milanote has mobile apps. Vexlynk’s canvas does not load on phones; it is built for a computer screen.
  • No business data. If you never want analytics, revenue or tasks on your board, Vexlynk’s main advantage does not apply to you.

How do the two compare side by side?

  • Where boards are stored: Milanote describes storing customer data in databases on AWS and Google Cloud. Vexlynk desktop stores boards on your computer, with cloud sync optional.
  • Local files: Vexlynk’s Files panel links folders without copying them (desktop only).
  • Business sources: Vexlynk connects live accounts as cards; this is its core.
  • AI: Vexlynk’s agent reads the whole board and can create cards, documents and images. You can use Vexlynk’s hosted AI or bring your own key.
  • Sharing and mobile: Milanote is ahead.

What should you check before switching?

You do not have to switch everything at once. Many people keep a mood board tool for pure inspiration and use Vexlynk for the board where ideas meet numbers. Before moving a project, ask three questions:

  • Do I need other people editing this board with me? If yes, stay where sharing is built in.
  • Do my decisions on this project depend on data from my channel, store or analytics? If yes, a board that shows that data live will save you tab-switching.
  • Do I want this work stored on my own computer by default? If yes, the Vexlynk desktop app with sync off does exactly that.

Try it on your desktop

Start with one board: a few idea notes, one linked folder and one live source. Download Vexlynk for Windows or macOS, or try it in your browser first. Everything that ships today is on the features page, and you can see plans whenever you are ready.

Frequently asked questions

Does Vexlynk work offline?

The desktop app is local-first and works without a network connection for everything that does not inherently need one. Live sources and the AI agent need a connection, because they reach outside services.

Can I import my Milanote boards into Vexlynk?

Vexlynk’s documentation does not describe a Milanote import. If you move, you rebuild boards in Vexlynk; images and files can be dragged onto the canvas, or linked through the Files panel on desktop.

Does the Files panel upload my files?

No. It stores a reference to the folder’s path. Nothing is copied, uploaded or moved, and linked folders are not synced even with cloud sync on.

Can the agent read files from my linked folders?

Not uploaded files like PDFs; those are not readable by the agent yet. It reads your cards, notes, live sources and link cards. Vexlynk document cards can be read too, if you turn that on in Settings (it is off by default).

Can I share a Vexlynk board with a client?

Vexlynk’s documentation does not describe sharing a board with other people; it is built around your own workspace. A document you write in Vexlynk can be shared as HTML, but if shared boards with clients are central to your work, Milanote is the better fit.
