If you want to reply to WhatsApp Business messages from your desktop, the reason is usually not the keyboard. It is everything else. A client asks whether their order shipped, and the answer is in Stripe. Someone wants to move Thursday’s call, and the answer is in your calendar. You end up reading the message on your phone, checking two apps on your computer, then picking the phone back up to type a reply. Multiply that by a few dozen conversations a day and WhatsApp becomes the most expensive tab you never close.

This post explains what it takes to bring your WhatsApp Business conversations onto a Vexlynk board, how replying from the card works, what you need set up first, and when a simpler tool is the better choice.

Why reply from a board instead of from your phone?

Because most client replies need context, and the context is on your computer. Before you answer “yes, that’s paid” or “Thursday works”, you check something. When the conversation sits next to the things you check, the reply takes one step instead of four.

On a Vexlynk board, WhatsApp is one live card among others. Put it beside Google Calendar, Stripe and your task board, and a typical morning looks different: you see who wrote, who you are meeting today and who paid, in one window. That is the board shown on the WhatsApp, calendar and Stripe page.

What do you need to connect WhatsApp Business?

Be precise here, because this is where people get stuck. Vexlynk does not connect to the WhatsApp app on your phone. It connects through Kapso, a provider of official WhatsApp access for software. The Connecting Sources guide lists the source as “WhatsApp (via Kapso)”, connected with an API key you paste.

So you need three things:

  • A Kapso account. As of October 2026, Kapso’s own documentation describes getting started with an API key and a WhatsApp number connected to Kapso.
  • A WhatsApp number connected to Kapso. Kapso’s site describes connecting your own number or using one it provides. Which numbers you can connect, and how that affects using the same number in the WhatsApp Business app, is set by Kapso and Meta, so check Kapso’s documentation before you move your main business number.
  • Your Kapso API key, pasted into the WhatsApp source in Vexlynk. Keys are stored encrypted and are never written into your workspace.

If that sounds like more setup than you expected, it is. It is also what makes the connection official rather than a workaround.

How do you reply to WhatsApp Business messages from your desktop in Vexlynk?

1. Connect the source

Open Sources in the rail, choose WhatsApp and paste your Kapso API key. The card appears on your board and fills with your WhatsApp Business conversations. If it shows Connect, the source is installed but not yet authorized, and clicking it takes you to the right settings panel.

2. Read and triage on the card

The card shows your WhatsApp Business funnel as live cards. Read what came in and decide what needs an answer now. Pin the conversations that matter, such as an active client or a big open quote, so the agent reads them.

3. Reply from the card, and confirm

Type your reply right on the card. Sending asks you to confirm first. That step is deliberate: a message to a client cannot be unsent, so Vexlynk makes sure it is you who sends it.

4. Ask the agent before you answer

With WhatsApp, Stripe and your calendar on the same board, the agent can answer the questions you would otherwise check by hand:

  • “What needs a reply, and who am I meeting today?”
  • “Is there any unpaid client who also messaged this week?”
  • “Give me a morning triage of messages, calls and cash.”

A hypothetical example: say a client writes “can we move tomorrow’s session?” Your calendar card shows the session, and your Stripe card shows their last invoice is still unpaid. You can reschedule and mention the invoice in the same reply, without opening anything else.

Can the AI agent send WhatsApp messages for me?

No. The agent reads your pinned conversations along with the rest of the board, but it never sends a message on its own. Replying is your action, from the card, with a confirm step.

This is part of a wider rule in Vexlynk. Sources bring data in; they do not write back on their own. The few writes that exist, a WhatsApp reply, a Trello task update, a calendar event, happen only when you take that action yourself, one at a time. The privacy page in the docs spells this out, and it matters more than usual here, because the data on this card is messages written by other people.

What about the 24-hour window?

This one is a WhatsApp rule, not a Vexlynk one, and it is worth knowing. As of October 2026, Meta’s WhatsApp Business Platform documentation describes a 24-hour customer service window that opens when a customer messages you. Once it closes, businesses can no longer send non-template messages.

In practice, that is one more reason to see your conversations where you work all day. A reply sent within the window is a normal reply. A reply sent two days later may need a different route. If you regularly start conversations with clients rather than answer them, check what Kapso supports for that.

Does it work on the desktop app and in the browser?

Vexlynk runs as a desktop app for Windows and macOS and as a web workspace in the browser. Both run the same boards and the same agent. Phones do not load the canvas, so this is a computer setup: a laptop, a desktop or a computer browser. On the go, your phone’s WhatsApp stays the right tool.

On the desktop app, your boards are stored on your own machine unless you turn on cloud sync. Connecting a source contacts that service to fetch your data, and asking the agent sends the relevant context when you press send. If you use the web workspace, your boards live in the cloud so the browser can reach them.

When is Vexlynk not the right fit?

  • If you just want to type WhatsApp replies on a bigger screen, WhatsApp’s own options are simpler. As of October 2026, its download page at whatsapp.com offers a desktop app and WhatsApp Web in the browser. No provider, no API key.
  • If several agents answer customer chats in shifts, you want a shared team inbox built for that. Vexlynk is a workspace for running your business, not a support desk.
  • If you do not want to set up a provider account, the WhatsApp source is not for you yet. It connects through Kapso, and that is a real step.

Vexlynk is the better fit when the reply depends on something else in your business, and you want the conversation and the context in one place. The post on how to stop checking your business across 20 apps covers that bigger picture.

Frequently asked questions

Can I reply to WhatsApp Business messages from my computer with Vexlynk?

Yes. Once the WhatsApp source is connected through Kapso, you reply right from the WhatsApp card on your board. Sending asks you to confirm first.

Do I need Kapso to connect WhatsApp?

Yes. Vexlynk’s WhatsApp source connects via Kapso. You need a Kapso account, a WhatsApp number connected to Kapso and your Kapso API key, which you paste into Vexlynk.

Will the agent reply to customers automatically?

No. The agent reads the conversations you pin, but it never sends messages on its own. Every reply is yours.

Does the agent read all my chats?

The card lets you pin the conversations you want the agent to read, and it reads them together with the rest of your board.

Can I use it on my phone?

No. Phones do not load the Vexlynk canvas. Use the desktop app or a computer browser, and keep WhatsApp on your phone for when you are away from your desk.
